Here at Arizona State University, we are looking into allowing student organizations to paint windows within our student union. Does anyone allow students to paint windows within facilities (i.e. spirit related info, festive homecoming information, murals, etc). If so, how do you coordinate the window painting process including prep, clean-up, safety, and other related concerns.

We permit window painting in a certain hallway only, and only by major all-campus events such as Homecoming or Intercultural Festival which are significant in size and scope and which involve multiple student organizations.
Reservations are made through the room reservation system, and all reservations are tentative until the group's window painting coordinator has met with me to review and agreed to the rules. Generally, we only permit painting and cleanup on Sunday afternoons and evenings during periods of extremely lower hallway traffic. Our "rules" are as follows:
the responsible individual must be designated in advance and must be the person on site for both the painting period and cleanup period.
This person understands and agrees to be responsible for:
Being on site during all times & serving as the communications liaison between the individuals painting/cleaning and the Manager on duty
Communicating the "rules" for painting as listed to the groups and enforcing the rules during the painting and cleanup periods

Commons Manager on duty will provide two Commons stepladders for use during the painting and cleaning periods.
The student group will supply all window painting and cleanup supplies. The Commons cannot supply rags, sponges, paper towels, buckets, or any other Commons custodial supplies.
Organizations painting windows may not have groups of individuals who are merely watching the window painting or cleanup because a passageway for normal building customers must be maintained in the hallway at all times.

At UW-Whitewater we did Homecoming window painting for decades, and it worked very well for us, an ongoing Homecoming tradition with guidelines very similar to what is described above at VCU. Recently there have been custodial concerns about the window painting, and the Homecoming organizers have decided to try a switch to painting plexiglass panels this year. We have not been through the new process yet, but I would be glad to report results in November.

The idea was to avoid some issues by painting on thin plexiglass panels that will be attached to the inner surfaces of outer windows with adhesive.
Some of the related issues that arise include where the painting will take place (a ballroom with a tarped floor, instead of painting directly on the windows), access to sinks for cleaning brushes, selection/use/removal of adhesives on the windows, and financial comparison of custodial time to power wash windows (old approach) versus custodial time to remove adhesive from windows, any possible carpet cleaning from new remote painting site (new approach), cost/cleaning/storage of plexiglass panels, and amount of professional staff time involved.
