Our office in the student union is looking for a way to track our student manager keys, as to who checked them out at what time, etc.  We would like to find some sort of safe where each student who needs they keys would have to punch in a unique code in order to access the keys. I have seen several types of safes online, but none that seem to fit what I am looking for.  What do other student unions do with their master set of keys, and how do you keep track of them?  What happens if a set gets lost, and no one claims to have had them?

What we have at Pittstate is a key lock box.  The managers key is locked (inserted) in the box.  I have a key to the box cut for each manager and they are required to keep that key on their personal key chain. That key is inserted into the box, turned, allowing the managers key to come out leaving their personal keys locked (inserted) in the box.  Very rarely do I have a manager walking off with the manager's key since they would be leaving their keys behind.  Our University locksmith set it up.

We currently use what are called keytainers for all staff including the professional staff. This system cuts down on the number of keys anyone is issued personally. You have a single key that unlocks the keytainer and then you get your keys for the shift. When you unlock the keytainer your initial set is in the keytainer and you cannot retain them until you put the shift set back in its rightful place in the keytainer. Each set unlocks the other set. The keytainer is attached to the wall. We have had no one walk away without retaining their own set of keys. Shift keys never leave the building. If you wish more information please contact me.

We use Morse KeyWatcher at Cal State Northridge in both our Student Union and Recreation Center with tremendous success.  It is easy to use and can restrict key use as needed.  It also has reporting functions to know who used which keys when.
