Hi Sara!

We just switched to whentowork.com, and so far it seems to be working great.  Our staff grew enormously when we opened the building, so schedulesource became a little cost prohibitive.

I recommend http://www.whentowork.com.  We looked into it based on testimonials from the ACUI Region IV conference last fall.  We signed up for a free one month trial in January 2010, extended the trial for three months to cover the spring semester, and just renewed for the next year.  We only have 40 student employees, but have four levels of job responsibilities with the ability for employees to work in multiple areas.  Some of our shifts are fixed for the whole semester, and some are posted for employees to claim based on availability.  It also has the capability to auto-assign employees based on scheduling preferences, although we do not use that feature yet.  Overall, it has been a smooth transition from a paper to an electronic scheduling process.

We've been using Whentowork.com for over 2 years now.  We love it! The free 30 day trial is awesome because then you know for sure that it will work for  you.

If you have questions about how we use it, feel free to contact me.

Sara,

We too use Whentowork.com .  I started using it about 5 years ago for a conference program and restructured it for the student union.  It is a very affordable program with some great applications within it.  If you need to provide a lot of information such as policy manuals etc. within the same site you can create your own using drupal.com but it takes someone with some html and java script experience.  5 years ago Western Washington University had an awesome drupal created program.  Some students of mine have used hotschedules.com for other employment opportunities but they said they still liked W2W (and its cheaper).  If you'd like to see a working model let me know I'd be happy to give you a login for a little bit so you can see the functions.

I like that you can try the service for 30 days, no obligation.  I'll be looking into this service especially because we currently do not have a university website/portal with this functionality.  Thanks for the information and reviews!

We are also looking into this online service to use both with our Student Employees and also some of our full-time staff. I think it is very interesting and we are looking forward to the 30 day free trial. We currently do not have the number of staff we would during the semester, so unfortunately will have to wait until the fall semester. If anyone else has any suggestions, it would be appreciated (or if you can share some of your experiences with using the program).
